Analysis of Application of One Card Access Control and Attendance Management System in Hotel

May 02, 2023
1 Overview
One card is no longer a new thing. It integrates various previously unrelated systems through open shared databases and other technologies. Modern life has its applications everywhere. From intelligent buildings, smart communities, campus cards, access to attendance at the factory facilities to citizen ID cards, medical social cards, bus cards, and more. The card system is safe and convenient. It has penetrated into all aspects of society. With the development of technology and applications, the card system has even changed people's lifestyle.

In the traditional sense, the “card system” refers to the intelligent management of multiple different functions through a single card. As a carrier, the identity of the person loaded on the card and various other required information need to identify and authenticate the identity of the person. In a variety of systems, a single card can pass through many devices, instead of having different cards with different functions, and different cards are used on different devices.Various kinds of system devices are all connected to a single data line through a The data line communicates with the management computer. In the same system software, the same computer, and the same database, the information exchange of different data is performed.

Hotels, especially high-end hotels and hotels, are all integrated service places such as accommodation, catering, entertainment, etc. There are many subordinate departments, business is complex and the requirements of relevance and real-time are high. In order to meet the growing demand for services and management, many application systems in the hotel business need to be integrated with one card, such as room door lock management, room equipment control, elevator control, exit control management, attendance management, patrol system, internal consumption, Vehicle management, important material management, etc. The functions of each system are different. Although they have brought certain benefits, due to the different brands and different agreements between various application systems, some of them cannot truly achieve information sharing and cannot fully realize their advantages. How to efficiently manage a good hotel is a problem that every hotel must face. The application of "one-card system" in high-end hotels and hotels has become a common practice. However, it has been proved in practice that blindly incorporating all systems into a set of "one-card system database platform" is not a matter of capital investment or security considerations. Suitably, it should be classified and integrated according to the respective characteristics of the hotel.

2. One card structure 2.1 System structure
The hotel is a service industry. The managers have to consider many issues. How to provide a full range of services for each hotel customer, and to strengthen the management of the staff so that the hotel can operate efficiently and reliably. Divided from the business aspect, the high-end hotel's card system should be divided into two sets, namely service card and management card, and the two systems are relatively independent. In order to facilitate management, Cardholders generally use the same media card, but have their own database for integrated management.

The service card system can also be referred to as the front desk. It is aimed at staying customers. Its purpose is to improve the service quality. The integrated system includes room door locks, room equipment control (RCU), elevator control, internal consumption, vehicle access management, etc. . In the actual project construction, the foreground card system uses the PMS system (such as Fidelio, FOXHIS, etc.) as the design core. After the PMS product is determined, the system that needs to be accessed is redeveloped according to its structure and interface.

The management class card system can also be called the back-end system. The purpose is to strengthen the management. The integrated system includes building access control, staff attendance management, staff accommodation management, materials management, and employee restaurant consumption. The current hotels, especially high-end hotels, are mostly operated by large-scale hotel management group companies. Each hotel management company (such as Kempinski, Hilton, Intercontinental, etc.) has its own requirements for the management of cards, and the number of its access systems. And the depth is not the same.

2.2 Platform Structure

The hotel card (especially management card) system is divided into two basic parts: basic platform and business application.

The application subsystem takes smart card reading and writing terminal equipment and corresponding business management software as the main body, realizes effective period identification and application (room door lock, elevator control, parking management of staying guests, etc.), and realizes identity identification applications (such as room and equipment control ( RCU), access control management, staff accommodation management, staff catering, materials management, etc.), pure consumption payment applications (such as internal catering, water saving, etc.). The subsystems work together. The terminal device can be online and run online, and can also be operated offline independently in a fault state.

The basic platform provides data access support and business applications implement business processing. Each service application shares part of the basic platform. Each service of the basic platform can be invoked within the scope of authorization, and the business application can be increased, decreased, and expanded freely. On this platform, other functional modules can be added or removed easily, flexibly, and freely.

2.3 Network Structure

At present, most hotel card systems use the standard three-tier structure: physical equipment layer, application operation layer, and information sharing layer. The physical layer can use RS-485 bus or TCP/IP. The application layer and the shared layer adopt TCP/IP network. This kind of network structure can meet the requirements of transmission stability, security, and flexibility. The advanced bus integration technology and information integration technology integrate the management subsystems of the card management system on a basic platform and form an information resource sharing through the internal INTRANET. The back-end adopts a relational database system of C/S mode to support multi-level network applications.

3. Card Management 3.1 Card Selection

The most important issue in the hotel's card design is to choose the right type of card. At present, most regular hotel management companies do not have detailed requirements for card types in the internal building codes, but the specifications for the room door locks must be more specific.

Because hotel room door lock management is the most common and basic management method for hotel rooms, the cooperation between various hotel management software and hotel locks is also the most mature. Taking into account the stability of the hotel management software (PMS) operation, the current common practice is to determine a type of card based on the card type of the room door lock.

Each hotel is very careful when choosing room locks. This is due to a security concept. There are many kinds of cards that can realize the hotel lock function, such as magnetic card lock, IC card lock, proximity card lock, fingerprint touch lock, RFID card and so on. Currently more commonly used in hotels are magnetic cards and IC cards.

Magnetic cards were born in the early 1970s and were limited to European industrial fields. Its development is unusually rapid and magnetic card costs are very low and can be applied in various fields. The magnetic card relies on the magnetic stripe to store information, but its storage capacity is not large, and security needs to be achieved through encryption. Most of the magnetic cards are the most kind of identity authentication. The service processing required depends on the central processor. Therefore, it requires a higher stability of the network.

The IC card, also known as the IC card, was invented by French Moran in the 1970s. It is a credit card-sized plastic card embedded with an integrated circuit chip. The IC card has ROM, RAM, CPU, EEPROM, etc., similar to the microprocessor. Therefore, the IC card has all kinds of excellent information processing performance that the magnetic card does not have, such as large storage capacity, good confidentiality, and having computing functions.

The data structure of the IC card is planned as follows:

Basic sectors - recorded exchange sectors such as electronic keys - are mainly used for data exchange functions on the card through a unified switching area in the future when expanding functional requirements. The sector ____ is used to distinguish between non-applicable systems. Relatively protect their own confidential content, share data stored in the exchange area for economic considerations, hotels and restaurants that do not require a high level of card integration can consider the use of magnetic cards, IC card media for projects with high integration requirements is already the trend .

3.2 Card Sorting and Setting
Hotel cards are divided into two basic categories according to the system: guest cards and employee cards.

Guests can use the card to record content: personal information of the guest (such as name, place of origin, gender), check-in information (floor and room number of the room, valid time limit, consumption limit, etc.).

Employees can use the card to record content: personal information of the employee (such as name, department, level, job number, gender, photo, etc.), check-in information (check-in room floor and room number of long-term resident executives, valid time limit), and work authorization (Allow to enter the area, service room number, valid period), internal authority (working meal type, internal water usage, dormitory permissions, etc.)

3.3 Issue Card

The issuance of smart cards is done by the relevant department of the hotel (such as the personnel department or a special card issuing center). The main contents include personnel data management related to smart cards, prefabricated cards, printed cards, personalization of cards, and card recycling. For security reasons, cards are usually formatted first. The card issuance operation is mainly to write the personal identification information, card issuance information and initial application data into the prescribed position of the card, and at the same time, the card read/write password is modified to be a unique value that can be identified by all the access system tools.

Initialized guest cards are issued by the front desk or other locations (such as business floor reception desks) and all required information is written at the same time. Employee cards are issued uniformly by the Ministry of Personnel, and all information of all cardholders is written in advance.

4. One card major system 4.1 Room door lock system
Hotel door lock management system is mainly responsible for the control of access to all rooms in the hotel. It is mainly composed of hotel rooms, occupancy management computers, card issuing machines, and hotel door locks. It realizes the authority management of the hotel staff and guests in and out of the hotel rooms through functions such as time limit of the lock key, graded authorization, and various permission combinations of the smart card, so as to ensure the safety and convenient management of the hotel staff and property.

In addition to the regular room access control, the room card should also have multiple levels of management. Management Level President Card: Used to set important system parameters.

Management Card: Used to set key data.

Master control level master card: can open all hotel room door locks.

Emergency card: In special circumstances, even if the room is unlocked, it can be opened, prompting guests to evacuate.

Regional-level foreman card: Used by the foreman during the rounds, it can be allocated according to the actual foreman area of the hotel foreman.

Floor attendant card: Open a specified floor or other authorized door lock.

Clean Card: Opens the room door lock in a clean area within the specified cleaning time.

Control level stop card: In the event of an emergency in the room, you can use the stop card to temporarily block the room. In addition to the master control card and emergency card can be opened, other cards cannot be opened, and other cards can be opened after recovery.

Time Card: Set and calibrate the clock inside a door lock.

Check out the card and clear the card: You can immediately stop using the guest card.

Data card: read the unlocking information after unlocking the door lock.

Guest level guest card: Guests are allowed to unlock the room door during the valid stay.

Standby card: The hotel's door lock system was damaged due to power outage or computer hardware. The pre-issued standby card can be used as a guest card to open the corresponding guest room without affecting the guests' occupancy.

4.2 Room Management (RCU) System

The room energy management monitoring system controls, measures and monitors the lighting in the hotel rooms and all kinds of electrical equipment to ensure safe, reliable, energy-saving and labor-saving operation.

The room energy management monitoring system recognizes the identity of the person entering the room by inserting a card. Different forms of equipment are used to open different types of equipment for electricity consumption, so as to achieve energy conservation and strengthen management.

The room temperature control system operates in three room states, namely, no rental, rental, and occupancy status. After the card is inserted into the guest, the temperature control system enters the check-in state and runs according to the default settings. If the guest performs a manual setting, it will run according to the guest's setting. After the guests check in the card, the temperature control system enters the rental mode. After the same guest inserts the card again, the temperature control system automatically resumes the manual setting before the card is pulled out.

The attendants and managers insert the card, and the temperature control system maintains the card-home room operation, and does not accept the manual setting instruction of the person, but the lighting system accepts the instructions of the personnel.

4.3 Elevator Control System

The elevator control system implements various security management functions of the card control. Providing strong technical support for the hotel's safety management, restricting the flow of unrelated people, effectively blocking the non-hotel guests from entering the guest room, improving the sense of security of the guests.

According to the actual needs of the hotel, the IC card elevator manager is installed in the elevator, and various parameters are downloaded to the IC card elevator manager through the management software. When the user swipes the card, the IC card elevator management control module senses the card and it will associate all the relevant information in the card. Read out the data and check whether each data (validity, authority, blacklist) is legal. If the data is valid, the elevator will reach the floor where the user has permission, otherwise the elevator will not run.

4.4 Check-in guests' consumption system

In terms of style, customers can be divided into pre-existing cash consumption and identity-consumed consumption.

Pre-existing cash consumption methods require guests to pre-pay a certain fee at the time of check-in. The service staff will specify the amount of regional records on the room card. During the guest's stay, they can carry out consumer activities (such as purchase of goods, meals, etc.) within the limit value by using the house card. Car, etc.). This type of consumption is more complicated. As various types of bank cards are widely used today, people are accustomed to spending on cards and do not carry large amounts of cash with them. The pre-existing expenses require the PMS system and China UnionPay to make transfer settings. This not only adds software. The complexity, but also the responsibility for consumer reconciliation increased. Therefore, pre-existing consumption methods are mostly limited to long-term agreement customers, and practical applications have become less and less.

Identity verification only confirms the identity of the guest on a small or free service item. For customers with high reputation or VIP level, the system allows the consumption of the account after the confirmation of the identity, and is unified at the front desk when checking out. This type of consumption is currently the main trend of hotel operations.

4.5 Vehicle Access Control System

The parking lot intelligent management system is an organic combination of computer management technology, automatic control technology, Ethernet real-time communication technology, image recognition technology, and smart IC card technology. It is determined by reading the card information through a card reader installed in the entrance and exit. The vehicle's identity, effective time, whether it needs to pay, etc., to achieve vehicle access management, automatic storage of data, image comparison and other functions to ensure the safety of the vehicle in the field and easy to understand the dynamics of the vehicle at any time to achieve accurate and efficient dynamics Management, flexible, versatile and dynamic queries and security, strict security features, and at the same time simplify the management of temporary parked vehicles.

Due to the large number of people in the hotel, the large number of people facing the crowd, and the unreliability of staff, guests entering and exiting the vehicle have guests, imitation guests, and internal employees. The usual practice is that guests staying at the hotel can use the room card to enter and leave within the effective time. The internal staff can access the card according to the set level. The foreigner can get a temporary card at the entrance and pay according to the time of stay.

4.6 Access Control Management

Access control management system is an effective measure to solve hotel security management. The access to the hotel's business and logistics areas, equipment room, important departments, valuables warehouses, finances, offices, etc., in order to strengthen control and safety, each door needs to be controlled in and out, and authorization and effectiveness settings for each employee card The authorized user card can open the designated (authorized) door within the validity period. After the access control system is completed, it can effectively control entry and exit personnel to prevent illegal intrusion by unrelated personnel. Through the automatic alarm function of the access control, the linkage control of the system and the camera monitoring system can be achieved, and the purpose of image monitoring on the main access channel can be achieved.

4.7 Attendance

Responsible for the internal employee commuting work attendance statistics work, to achieve automation of employee attendance data collection, information query and attendance statistics process, improve the modernization of personnel management, thus facilitating the employee to work attendance, instead of the previous manual card punching, convenient management personnel statistical assessment The attendance rate of each department accurately captures the attendance of employees.

The printed smart card can be printed as a work permit. During work hours, when the employee presents his or her own employee's card before attendance, the card reader reads the identity information of the card and automatically records the attendance data. When they are off or going out, they just need to read the card just to go to work and the computer will record the required information. Information.

The attendance system mainly implements attendance records, attendance statistics, attendance check, duty shift management, and provides data for the management company's HER.

4.8 employee meal management

The canteen consumption management subsystem can provide services for all employees of the hotel. All employees can use the employee card in the canteen to consume and facilitate the employees' lives.

The hotel's internal canteen employee card is used as the identity authentication, and the dining POS machine reads the identity information of the inside of the card, and according to the level of the employee and the schedule of the class, it is possible to eat in the internal canteen. The meal management system can achieve system card authorization, card issuance, recharging, card retired, card replacement, card replacement, and consumption data collection. Its consumption patterns are roughly divided into fixed consumption and variable consumption:

Fixed consumption mode: In this mode, no keyboard is used to input the consumption amount, and the card is automatically deducted according to the preset amount when the card is read. The system uses two different types of cards to distinguish between employee cards and temporary cards. Different card types are used to deduct expenses that cannot be used during different time periods.

Uncertain consumption (a la carte charge): The operator enters the consumption amount through the keyboard of the terminal charging machine according to the cardholder's a la carte type. The terminal charging machine will automatically accumulate the total amount of consumption. After the terminal charging machine reads and writes the card, it is completed. Deduction work.

4.9 Patrol Management Subsystem

When the networked patrol system is in normal operation, the security personnel can complete the patrol work by holding the work card along the designated line. At the inspection site, the security personnel only need to lightly patrol the patrol card in the reading distance of the card reader. You can send the name of the inspector, the card number of the inspection site, the inspection time, and the inspection location to the patrol system management computer. The system management center automatically generates security patrol reports by summarizing and analyzing all patrolling data information on duty. The management personnel can clearly see the equipment and lines that have been patrolled by the security through the microcomputer, and provide information on missed inspections and delays. Through the management software, statistics on the punctuality rate, the delay rate, the number of missed inspections, and meter reading of the inspection patrol are available.

4.10 Material Management

The use and management of hotel materials reflect the overall management level of a hotel, and it also directly affects the saving, consumption reduction and efficiency increase. For past procurement, custody, use, distribution, use registration, report loss, cancellation, return to the library and other aspects of the management of the use of handwriting, low efficiency and difficult to save. Reliance on one-card technology can realize the use of card readers. The system reads personal information in the card through a card reader, and can also automatically generate various types of requisition reports in the system while confirming the recipient's authority to obtain, which greatly enhances Management level.

4.11 Water Saving Control

At present, the bathroom of many hotels and restaurants is the major water user of this unit, and there are serious problems such as high water consumption, frequent use of water, staggering waste of hot and cold water, and unnecessary consumption of related energy. Some uncontrolled water use, washing with hot water, and water from outsiders often occur. These not only bring great difficulties to the hotel management, but also greatly increase the unit's cost expenses.

The water saving system is an integral part of the card system and can effectively manage and control the use of personnel water charges. Save water while producing economic benefits. A reader is installed on each nozzle to read the remaining amount of water in the card. If there is sufficient dosage, the card will start to supply water, take the card and stop the water supply, and the water consumption will be recorded in the cards in various places. When the amount of water in the card is used up, the user must hold the card to the management department to pay for the re-use, so that the employees have a sense of water conservation, in order to achieve the purpose of saving money.
